Responsibilities

  • Answer inquiries and obtain information for customers, visitors, and other employees.
  • Provide information regarding activities conducted at establishment; location of departments, offices, and employees; and other duties as assigned.
  • Answers telephone to receive incoming calls and directs caller to appropriate personnel.
  • Greets visitors and determines nature and purpose of visit in a professional, friendly, hospitable manner.
  • Directs visitors to specific destination or answers questions and provides information.
  • Provides administrative support including the processing of correspondence, memos, reports, scheduling appointments, processing travel requests, or other documents as requested.
  • Process information or documents to assist customers/employees using computer, mail, or facsimile.
  • Receives sorts and forwards incoming mail for department.
  • Open and closes lobby/visitor area (locking doors, closing blinds, turning off lights).
  • Sets up phone extensions and voicemail for personnel changes and new employees.
  • Assist with contacting appropriate vendors for facilities service.
  • Performs a variety of clerical duties.
  • It is an essential function of this job to show up on time and be ready to work your regularly scheduled hours.

Qualifications

  • 2-3 years’ experience in a related position supporting a department or office.
  • Must have Cisco PBX experience.
  • Must have clear understanding of English language including the meaning and spelling of words, rules of composition, and grammar.
  • Communicate effectively with all levels of staff.
  • Knowledge of numbers, their operations, and interrelationships including basic math and related applications.
  • Knowledge of administrative and clerical procedures and systems such as word processing, filing, and other office procedures and terminology.

Education

  • High School Diploma or GED.
