Creative Door Services, North America’s largest overhead door dealer, operates nine branches across Western Canada and we have over 45 years of experience in the residential and commercial overhead door industry.  We provide access solutions by servicing and installing a variety of overhead doors and driveway gate systems, operators and associated controls.  

Role:
We have an immediate opening for an Office Administrator located in the Vancouver branch.  Reporting to the Branch Manager, the Office Administrator is responsible to manage contracts for ongoing and future dated projects.  This role is a permanent, full time position.  

Responsibilities:
  • Providing excellent internal and external customer service
  • Maintaining document control and providing administrative support to the Commercial Sales team
  • Communicating with Finance to verify credit has been established and payments have been applied
  • Creating and processing progress billings and preparing documents for project close out
  • Adhering to project coordination standards, including forms and processes which drive timeliness, accuracy, ethics and professionalism
  • Effectively communicating with other departments, ensuring maintenance of customer service standards and enabling effective project management
  • Maintaining a positive attitude and communication style with customers and employees in all circumstances
  • Assisting with Accounts Receivable on contract jobs when necessary
  • Handling time cards and subcontractor invoices for Technicians
  • Acting as a Commissioner of Oaths for Statutory Declarations
  • Other duties, as assigned
Skills:
  • Strong attention to detail, analytical and problem-solving skills
  • Strong organization and decision-making ability
  • Ability to prioritize and handle multiple tasks
  • Ability to respond to common inquiries or complaints from customers and other departments
  • Ability to present information to senior management and customers
  • Working knowledge of MS Office suite; Word, Excel, Outlook
  • Willingness to learn products, systems and processes
Qualifications:
  • 3+ years of progressive experience in project administration, coordination or related function
  • Experience in industry with a service and installation company, preferably in a construction environment would be an asset
  • A record of continuing education in related topics is desirable
  • Commissioner of Oaths would be considered an asset or willingness to obtain this credential required
